Position Overview: As Vice President, PMO & Operations, you will architect and lead the operational backbone that powers the next stage of our growth. The Vice President, PMO & Operations will report directly to the Chief Operating Officer and lead agency-wide project management, operational efficiency, and strategic program delivery. This executive-level role combines strategic vision with hands-on operational oversight to align resources, processes, and priorities for exceptional client and agency outcomes. The VP will oversee both the Project Management Office (PMO) and core operational functions, with a Sr. Director of PMO/Operations reporting into this role to drive large-scale, cross-functional initiatives.
Key Responsibilities
Drive Strategic & Operational Leadership
- Partner with executive leadership to shape and execute operational strategy in alignment with agency goals and client needs.
- Drive cross-functional integration between operations, marketing, creative, sales, delivery and account service teams.
- Champion a high-performance, collaborative, and innovative culture that reflects our agency values.
Elevate Client-Centric Program & Project Management
- Lead the PMO function to ensure all projects are delivered on time, within scope, and within budget.
- Ensure operational processes directly support exceptional client experiences, campaign success, and measurable results.
- Collaborate with client service teams to align delivery operations with client expectations and retention goals.
- Lead the execution of transformational initiatives such as Project Sunlight, ensuring they deliver measurable impact on margin, scalability, and client retention.
Lead Operational Excellence & Technology Transformation
- Identify and implement process improvements that increase efficiency, reduce costs, and improve quality.
- Oversee the selection, implementation, and optimization of project management and operational technology tools.
- Leverage data analytics to improve decision-making, resource allocation, and delivery efficiency.
- Develop and monitor KPIs to measure operational performance and drive measurable improvements in timelines, costs, and client satisfaction.
Champion Change & Scalability
- Lead change management initiatives to ensure smooth adoption of new processes, tools, and structures.
- Build operational scalability to support agency growth and evolving client demands.
- Oversee vendor management and operational budgets for assigned functions.
Inspire, Develop, and Lead Teams
- Build, mentor, and lead high-performing teams across project management and operational functions.
- Provide coaching, development, and succession planning to strengthen internal talent pipelines.
- Foster a culture of accountability, communication, and continuous improvement.
Qualifications
- 12+ years of experience in operations, PMO leadership, or program management in a digital marketing, advertising, or creative agency environment.
- Proven track record of leading large-scale, cross-functional initiatives.
- Strong understanding of project management methodologies (Agile, Waterfall, hybrid approaches).
- Exceptional leadership and people management skills with the ability to inspire and motivate.
- Expertise in process design, change management, and operational scaling.
- Excellent analytical, problem-solving, and decision-making skills.
- Strong financial acumen, including budget management and cost optimization.
- Outstanding communication skills, both written and verbal.
- Proven ability to operate at the executive level, influencing decisions and aligning diverse stakeholders toward common goals.
Preferred
- Experience in managing operations for a multi-location or global team.
- Familiarity with marketing technology platforms and tools.
- PMP, PgMP, or other relevant certifications.
