Job Summary
This position is responsible for the oversight and strategic management of CenCal Health’s owned and leased real estate assets and facility operations. Under the direction of the Director of Administrative Services, the Real Estate Assets Manager leads the Real Estate units. This includes operational planning, regulatory compliance, administrative, and facilities support to ensure a safe, accessible, and efficient work environment.
Duties and Responsibilities
Oversee day-to-day operations of CenCal Health’s owned and leased facilities to ensure safe, clean, accessible, and fully functional work environments.
Supervise the facilities and maintenance team to complete all scheduled and unscheduled maintenance tasks.
Collaborate with department leadership to develop, implement, and maintain a preventative maintenance schedule.
Establish procedures for managing urgent and non-urgent maintenance requests, including after-hours response protocols.
Assist in the oversight of capital improvement and construction projects, ensuring timelines, safety standards, and budget expectations are met.
Supervise vehicle maintenance activities to ensure company vehicles remain in safe, working condition and are serviced regularly.
Develop and manage the annual operating budget for facilities and capital improvement projects.
Oversee vendor relationships related to building maintenance, repair, and capital construction services.
Maintain organized and up-to-date records for property, maintenance, vehicle fleet, project documentation, and vendor service agreements.
Manage mailroom operations, including the receipt, dispatch, and internal distribution of mail and packages.
Ensure timely and reliable courier services, including coordination of off-site storage and interoffice deliveries.
Supervise reception support services, including front desk operations, visitor protocols, and professional customer service.
Coordinate the setup and readiness of conference rooms for internal and external meetings, ensuring technology and supplies are in place.
Oversee inventory control and timely replenishment of printed materials (e.g., letterhead, envelopes), general office supplies, and shared equipment.
Develop and manage operating budgets for all areas within the Real Estate Unit.
Oversee vendor contracts and services related to all areas within the Real Estate Unit.
Review and manage assigned accounts payable and receivable, ensuring accurate processing and budget alignment.
Supervise assigned administrative and support staff, including onboarding, training, scheduling, performance evaluations, and coaching.
Support organizational continuity by ensuring availability and distribution of critical tools and resources.
Act as the primary liaison with property managers and landlords to address tenant issues and facility concerns in a timely manner.
Coordinate all lease-related activities—new leases, renewals, subleases, expansions, and terminations—in partnership with Legal, Finance, and Risk Management.
Maintain accurate lease documentation, correspondence, and records of key lease terms and compliance requirements.
Support space planning and logistics, including coordinating office moves, workspace reconfigurations, and new office build-outs.
Ensure organizational needs and operational impacts are considered in real estate planning and lease negotiations.
Participate in CenCal Health’s emergency preparedness planning, response coordination, and logistical support activities.
Develop and implement contingency procedures to ensure operational continuity during disruptions.
Coordinate procurement, distribution, and inventory of emergency supplies, safety equipment, and facility-related readiness tools.
Identify opportunities to improve service delivery, reduce operational risk, and enhance alignment with organizational goals.
Stay current on federal, state, and local regulations pertaining to facility safety, workplace standards, and emergency protocols.
Review and update internal policies, procedures, and standard operating guidelines to ensure compliance and readiness.
Collaborate with Risk Management to assess and maintain appropriate property and liability insurance coverage related to facilities and support functions.
Provide regular updates, reports, and recommendations to leadership regarding facility readiness and risk mitigation planning.
Knowledge / Skills / Abilities
Proficient knowledge of leasing, property management, contracting and functions.
Proficient understanding of facilities maintenance and building systems (HVAC, electrical, plumbing, fire alarms, etc.)
General knowledge of California building safety codes and regulations.
Experience in effectively managing staff and leading a team through several projects.

Education and Experience
A Bachelor’s degree in Business, Real Estate Management, Finance, or a related field is required.
A minimum of five (5) years of progressively responsible experience in property and facilities management and team leadership is required.
A minimum of ten (10) years of relevant experience in property or facilities management, or a combination of education and experience, will be considered in lieu of a degree.
Familiarity with lease administration and property management contracts is preferred.
