This role offers an exciting opportunity to manage payroll operations and ensure compliance across multiple U.S. states within a dynamic, growing organization. You will oversee the end-to-end payroll process, maintain accurate records, and collaborate closely with HR and finance teams to ensure data integrity and timely execution. This position allows you to contribute directly to employee satisfaction, operational efficiency, and compliance excellence. With a focus on accuracy, attention to detail, and confidentiality, you will play a critical role in supporting payroll and benefits administration while helping shape the broader HR function in a fast-paced environment.
Accountabilities
- Process biweekly or semi-monthly payroll for employees across multiple U.S. states, ensuring accuracy, timeliness, and compliance with federal and state laws.
- Maintain payroll records and reports according to legal requirements and company policies.
- Set up and manage employee payroll information, including tax withholdings, benefits deductions, direct deposits, garnishments, and bonuses.
- Liaise with finance and HR to validate payroll inputs and maintain consistent data across systems.
- Reconcile payroll-related general ledger accounts and support month-end and year-end payroll closings.
- Prepare and submit payroll tax filings, coordinating with external vendors when necessary.
- Assist with onboarding and offboarding employees in relation to payroll and HR documentation.
- Support benefits administration including enrollments, deductions, and updates.
- Respond to employee inquiries regarding payroll, benefits, or administrative procedures.
- Prepare reports and summaries for management and support ad hoc HR and operational tasks as needed.
Requirements - 3+ years of experience in payroll processing, particularly multi-state U.S. payroll.
- Strong knowledge of federal and state payroll regulations, tax laws, and compliance requirements.
- Experience with payroll software such as ADP, Paychex, Gusto, QuickBooks Payroll, or similar.
- Proficiency in Microsoft Excel and Google Workspace.
- Exceptional attention to detail, accuracy, and confidentiality.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Effective communication and collaboration skills to work across HR, finance, and operational teams.
